Terms & Conditions

Anchor - Pre Course Assessment

1. General

 

1.1     The Terms and Conditions of trade of Western Plant Training are contained herein.

These Terms and Conditions will form the basis of all contracts with Western Plant Training, unless otherwise specified in writing. All bookings should be confirmed by the Client to Western Plant Training in writing and accompanied by an official purchase order and/or payment.

 

1.2     Western Plant Training reserves the right to vary these terms and conditions at any time and without notice, the latest version of which 

will be available via the web site or at the request of the Client.

 

 

2. Tests and Bookings

 

2.1     CPCS Tests

Candidates are required to bring photo ID for all CPCS tests. Failure to bring photo ID will result in the candidate being unable to start the test.

In some rare cases you may not have a photo driving licence or passport in which case please call us beforehand.

Candidates must arrive at least 30 minutes before their allocated test time. Latecomers will not be admitted.

 

Candidates must also bring suitable PPE with them for CPCS tests. You must bring Safety Boots, Hard Hat and Hi-vis Vest.

 

Prior to booking a CPCS test, candidates must have passed the CSCS Health, Safety & Environment Test for Operatives within the last 2 years.

2.2     Levy Payers

          For CPCS tests, Levy payers must inform Western Plant Training that they wish to apply for a grant.

          Levy payers must provide their Levy number to Western Plant Training prior to CPCS tests being booked. Western Plant Training must              book CPCS tests three working days in advance, if the Levy number has not been provided it will not be submitted when booking the                test.

2.3     Pre Course Assessments       

          The pre course assessment is free to all candidates who carry out training or testing with Western Plant Training. Candidates who                    decide to carry out training or testing elsewhere will be charged a small fee to cover instructor costs, fuel etc.

           

          Following completion of a pre course assessment, the timeframe given for any training to prepare for a test is a guideline depending on            the ability of the candidate. Some candidates may require more or less days training than quoted.

 

          The timeframe for training given relates to Western Plant Training’s instructors only. Western Plant Training is not responsible in the                  event that a candidate carries out training elsewhere and finds that the training has not prepared them for the test, or results in a failed              test.

2.4     Bookings

          In order to register candidates on the NOCN/CPCS system, candidates must provide us with the exact details (name, D.O.B, national                insurance number & address) used to register for the Health, Safety & Environment test.

          Failure to provide correct details will result in the CPCS system being unable to find the health & safety test and we will be unable to                  claim the CPCS card.

          Once registered, any changes to details on the CPCS system will incur a fee.

 

2.5     Lantra & NPORS - Photo Cards

Candidates requiring a photographic Lantra or NPORS card must bring a passport size photo on the day of their assessment. In the event the photograph is forgotten, Western Plant Training must receive the photograph within 7 working days, either by post or through email.

If the photograph is not received within 7 working days, candidates will only receive a Lantra or NPORS certificate.

2.6     NPORS - Bookings

          Western Plant Training requests correct names, date of birth, and national insurance number for each candidate in order to check for                any previous cards a candidate may hold. If a candidate is unable to be found due to incorrect information provided, Western Plant                    Training will take no responsibility for this.

          Western Plant Training requests confirmation and evidence of candidate experience prior to commencement of the course/test.

          In the event that incorrect information is received or if no information is received, Western Plant Training reserves the right to cancel                  including cancellation on the day of the course/test.

          Candidates must bring suitable PPE with them for NPORS training and tests. You must bring Safety Boots, Hard Hat and Hi-vis Vest.

          If candidates require the 2 year CSCS NPORS Card, they must have passed the touch screen Health, Safety & Environment Test for                Operatives within 2 years of the date of the NPORS test.

            In the event that a candidate has not passed the HS&E test, a 5 year Traditional NPORS card will be issued.

          Candidates will then have the opportunity to pass the HS&E test, and the CSCS NPORS card can be applied for (a charge of £35                      +VAT will apply)

     

2.7     NPORS Site Requirements – Off Centre Courses

          For courses taking place off centre, it is the responsibility of the customer to ensure their site meets the requirements set out by                        NPORS.

          If on the day of the course/test, the Instructor deems the site unsuitable for the course/test to be carried out, Western Plant Training                  reserves the right to cancel.

          In this case a partial refund will be given as set out in point 5.2 of these terms, or the course may be rescheduled to take place at                      Western Plant Training or a suitable site with any booking and instructor fees as detailed in point 5.6 of these terms (if applicable).

2.8     Plant NVQs

          All NVQ registrations will be processed once payment has been received.

          In order to process an NVQ registration, Western Plant Training requires the candidate's Full Name, Date of Birth, CPCS Number,                    National Insurance Number, Contact Telephone Number, and Home Address. Failure to provide all details requested will result in the                NVQ registration being delayed.

          Any extension cards and blue cards will be sent to the address provided unless Western Plant Training is notified to send it elsewhere.

          It is the responsibility of the candidate/employer to notify Western Plant Training of any change of address. In the event that Western                Plant Training has not been informed of a change of address and this results in a card being sent to an address the candidate no                      longer lives at, the candidate/employer must pay a fee of £35 +VAT for a replacement card to be sent to the correct address.

3. Payment Terms

3.1     All course & test fees are due for payment by the date stated on the invoice.

3.2     Where training is due to take place within 5 days from commencement, payment must be made in full in advance.

3.3     Where an invoice is not paid by the due date, Western Plant Training reserves the right to cancel the course at any given time before or            after the course/test start date. In the event of a retainer being paid in advance, this will be non-refundable if Western Plant Training is              forced to cancel the course/test.

3.4     All certification will be held by Western Plant Training, and in some cases the results will not be submitted until all fees are settled.

3.5     Invoices are subject to VAT at the appropriate rate, except for customers with VAT Exemption, in which case proof of VAT Exemption 

must be provided.

3.6     Invoices are payable via bank transfer, BACS, cheque or cash. Cheque payments must have cleared prior to all course or test bookings            and NVQ registrations.

 

4. Cancellation & Rescheduling - CPCS

 

4.1     Cancellation

Western Plant Training books all tests with CPCS 3 working days before the test date. Therefore, we have a 72-hour notice period for all cancellations and rescheduling.

Any cancellations or reschedules should be made via our telephone line on 01579383955.

4.2     Cancellations made 72 hours before tests or training

Cancellations must be made no less than 72 hours before the test or training. In this case a full refund or credit note will be issued.

 

4.3     Cancellations made less than 72 hours before tests or training – Your right to cancel

We understand that for reasons out of your control, occasionally candidates need to cancel a test at the last minute.

In this instance if a test or course is cancelled after the 72-hour notice period, a partial refund or credit note will be issued, however you will incur an administration fee, any fees for machine costs and fees for instructors.

 

Refunds will be made by the same means it was paid.

 

4.4     Giving No Notice

If the test or course is cancelled without giving any notice, i.e., if the candidate fails to turn up without any communication, no refund will be given.

 

4.5     Western Plant Training’s Right to Cancel

Western Plant Training reserves the right to cancel, including cancellation on the day of the test/course if the Test Centre experiences a problem outside their control. This includes but is not limited to: electricity failure, security alert, extreme weather. In such circumstances you will be offered an alternative date.

Western Plant Training must have correct names, date of birth, national insurance number, and address for each candidate in order to book the CPCS test. If a test is unable to be booked due to incorrect information provided, Western Plant Training will take no responsibility for this. 

 

4.6     Rescheduling

If you wish to reschedule a test or training for another date, you MUST do this at least 72 hours before the scheduled test or course date.

There will be no charge for rescheduling before the 72-hour penalty period.

 

Any tests or training rescheduled after the 72-hour notice period will incur a booking fee, fees for machine costs and Instructor fees.

CPCS dates, start times, and joining instructions will be detailed on the Booking Confirmation Form. Western Plant Training will take no responsibility for the candidate's failure to read the Booking Confirmation properly.

           

5. Cancellation & Rescheduling - NPORS

5.1     Cancellations made 5 working days hours before tests/courses

          Notice of cancellation for all NPORS courses and tests must be given no less than 5 working days in advance of the course/test date.              In this case a full refund will be given.

 

5.2     Cancellations made less than 5 working days before tests/courses – Your right to cancel

          We understand that for reasons out of your control, occasionally candidates need to cancel a test at the last minute. In this instance if a            test is cancelled after the 5 working day notice period, a refund will be given, however you will incur an administration fee, any fees for              machine costs and fees for instructors.

 

5.3     Giving No Notice

          If the test/course is cancelled without giving any notice, i.e., if the candidate fails to turn up without any communication, no refund will                be given.

 

5.4     Refunds will be made by the same means you paid it.

 

5.5     Western Plant Training’s Right to Cancel

          Western Plant Training reserves the right to cancel, including cancellation on the day of the course, if the Test Centre experiences a                  problem outside their control. This includes but is not limited to: electricity failure, security alert, extreme weather. In such                                  circumstances you will be offered an alternative test date.

 

5.6     Rescheduling

          If you wish to reschedule a test for another date, you MUST do this at least 5 working days before the scheduled test/course date.                    There will be no charge for rescheduling the test before the 5 working day penalty period. Any tests rescheduled after the 48-hour                      notice period will incur a booking fee, fees for machine costs and Instructor fees.

 

6. Cancellation & Rescheduling - Lantra

 

6.1     Cancellation

Western Plant Training books all Lantra courses 5 working days before the course date. Therefore, we have a 5 working day notice period for all cancellations and rescheduling.

Any cancellations or reschedules should be made via our telephone line on 01579383955.

6.2     Cancellations made 5 working days before a course

Cancellations must be made no less than 5 working days before the course. In this case a full refund will be given.

 

6.3     Cancellations made less than 5 working days before a course – Your right to cancel

We understand that for reasons out of your control, occasionally candidates need to cancel a course at the last minute.

In this instance if a course is cancelled after the 5 working day notice period, a partial refund will be given, however you will incur an administration fee, any fees for machine costs and fees for instructors.

 

Refunds will be made by the same means it was paid.

 

6.4     Giving No Notice

If the course is cancelled without giving any notice, i.e., if the candidate fails to turn up without any communication, no refund will be given.

In such circumstances you will be offered an alternative test date.

 

6.6     Rescheduling

If you wish to reschedule a Lantra course for another date, you MUST do this at least 5 working days before the scheduled course date.

 

Any course rescheduled after the 5 working day notice period will incur a booking fee, fees for machine costs and Instructor fees.

Lantra course dates, start times, and joining instructions will be detailed on the Booking Confirmation Form. Western Plant Training will take no responsibility for the candidate's failure to read the Booking Confirmation properly.

 

There will be no charge for rescheduling the course before the 5 working days penalty period.

 

7. Cancellations & Rescheduling - In House Training

 

7.1     Cancellation

          Western Plant Training has a 5 working day notice period for all cancellations and rescheduling. Any cancellations or reschedules                      should be made via our telephone line on 01579383955.

 

7.2     Cancellations made 5 working days before a course

          Cancellations must be made no less than 5 working days before the course. In this case a full refund will be given.

 

7.3     Cancellations made less than 5 working days before a course – Your right to cancel We understand that for reasons out of your control,            occasionally candidates need to cancel a test at the last minute. In this instance if a course is cancelled after the 5 working day notice              period, a refund will be given, however you will incur an administration fee, any fees for machine costs and fees for instructors.

 

          Refunds will be made by the same means the funds were paid.

 

7.4     Giving No Notice If the course is cancelled without giving any notice, i.e., if the candidate fails to turn up without any communication, no            refund will be given.

7.5     Western Plant Training’s Right to Cancel

          Western Plant Training reserves the right to cancel, including cancellation on the day of the course if the Test Centre experiences a                  problem outside their control. This includes but is not limited to: electricity failure, security alert, extreme weather. In such           

          circumstances you will be offered an alternative test date.

7.6     Rescheduling

          If you wish to reschedule a course for another date, you MUST do this at least 5 working days before the scheduled course date.

 

          Any course rescheduled after the 5 working day notice period will incur a booking fee, fees for machine costs and Instructor fees.

          There will be no charge for rescheduling the test outside the 5 working day penalty period.

          Course dates, start times, required equipment, and directions to the training centre will be detailed on the course Joining Instructions.     

          Western Plant Training will take no responsibility for the candidate's failure to read the joining instructions properly.

 

Cancellation & Refunds - Plant NVQs

7.1      In the event a refund is requested after a candidate has already been registered for the NVQ, a partial refund will be given (minus fees             and any card extensions that have been issued).

 

7.2       In the event a refund is requested before a candidate has been registered, then a full refund will be issued.

 

7.3       Cancellations must be made at least 24 hours before the arranged date of a site visit.

 

7.4       In the event that a site visit with the Assessor is cancelled less than 24 hours before the date a fee may be charged.

 

7.5       In the event a site visit is cancelled without giving any notice, i.e., if the candidate fails to turn up

            without any communication, a fee will be charged and must be paid before the NVQ is completed.

8. Certification & Photo ID Cards

 

8.1     All certificates and photo ID cards will be sent out to candidates once full payment has been received.

 

8.2     Weekday CPCS tests will be resulted within 24 hours. Weekend and bank holiday tests will be resulted the next working day.

          Once tests are resulted, CPCS will process the cards and post them out. Cards should be received within 15 working days of taking

the test. If the card is not received 3 weeks after taking a test, candidates should inform Western Plant Training, or a charge for replacements may apply.

CPCS cards will be posted to candidates at the address provided on the data protection statement form, unless we are otherwise informed by the candidate/employer.

As the CPCS use a third party printing company, CPCS card turnaround times vary. Western Plant Training has no control over and holds no responsibility over CPCS card turnaround times once card applications have been submitted. 

 

8.3     It is the responsibility of the Individual/Employer to ensure they have allowed enough time to register for the NVQ to receive an                          extension card before the original card expires. It can take up to six weeks for an extension card to arrive once Western Plant Training              has submitted a card application.

          It is also the responsibility of the Individual/Employer to ensure they have allowed enough time to for the NVQ to be completed before              the extension card expires. It can take up to six weeks for a blue card to arrive once Western Plant Training has submitted a card                      application.

          Once card applications are submitted, Western Plant Training holds no responsibility for individuals who are refused access to site due            to possessing an expired card.

8.4     Lantra certificate turnaround times vary as stated by Lantra on their website. Western Plant Training holds no responsibility for                          processing times of certificates/cards once Lantra has received paperwork/results.

 

8.5     Western Plant Training holds no responsibility for certificates/cards lost in postage. Candidates must inform Western Plant Training if 

they have not received their certificates/cards at the earliest opportunity, or they may be charged for a replacement.

 

8.6     All cards and certificates will be sent to the address provided unless Western Plant Training is notified to send it elsewhere.

          It is the responsibility of the candidate/employer to notify Western Plant Training of any change of address. In the event that Western                Plant Training has not been informed of a change of address and this results in a card being sent to an address the candidate no                      longer lives at, the candidate/employer must pay a fee of £35 +VAT for a replacement card to be sent to the correct address.

 

8.7     In order to register a candidate on the NPORS system they must provide their Name (as it is to be displayed on the card), Date of Birth,            National Insurance Number, Address, Telephone Number, and Email Address. Failure to provide all of the required information may                  result in a delay to the card application process.     

 

9. Data Protection & Privacy

 

9.1     All personal data provided to Western Plant Training will be handled in accordance with the Data Protection Act 2018.

 

9.2     Western Plant Training may collect information on candidates for booking of tests and courses only.

 

9.3     Western Plant Training may collect feedback or comments to help improve courses and tests.

          With permission of the candidate, some comments may be used on the website or social media for testimonial purposes only. A tick                  box is provided on the feedback form giving Western Plant Training permission to use or publish any comments. Any candidate who                  doesn’t wish for any of their comments to be published should ensure they do not tick the box.

 

9.4     Western Plant Training will not pass on data to third parties for marketing purposes.

 

9.5     Candidates have the right to request a copy of the personal data Western Plant Training holds for them and can correct any 

inaccuracies found (a small fee may apply).

10. Copyright

 

10.1   CPCS course material and study notes will be provided by Western Plant Training. All materials provided are copyright.

No part of the course or study notes may be reproduced or transmitted in any form, or by any means, electronically or mechanically. Recording of the course is strictly prohibited.

 

10.2   The Western Plant Training website and its contents, unless uploaded by users, is property of Western Plant Training. You may not

reproduce, copy, distribute, store or in any other fashion re-use material from the website unless otherwise indicated on the website or unless given express written permission to do so by Western Plant Training.
